TASK 1 – Create a role:
TASK 1 – Create a role:
Step1: Login to Workday
Step2: On search look for the task ‘Maintain Assignable roles’
Step3: Maintain Assignable Roles screen appears
Click on + sign to create a new Role
Step4:
- Enter the Role Name, Enable the role for Company, Company Hierarchy, and Cost Center.
- Click OK
-Role is created
Step5:
- To check the created Role, on search look for task ‘View Assignable Roles’
-Our created Role is available.
TASK 2 – Create a security group:
Step1: On Search, look for the task ‘create security group’ and following page opens
Step2:
– Enter Type of Security Group and Name of the security Group.
Note: there are various types of security groups available in Workday. Example: Role-based, job-based, location-based, integration system security group.
-Here we choose ‘Role-based security group’ for this exercise.
-Click OK
Following page appears:
- For Assignable Role, we are selecting the Role ‘BCR Test Invoice Clerk’ that was created above.
- Click OK.
- Now Security group ‘BCR RBSG Invoice Clerk’ created with Assigned Role: ‘BCR Test Invoice Clerk’
TASK 3 – Assigning security group to domain security policies with permissions (view/modify):
Note: In simple terms, Domain Security Policies are nothing but functionality, could be a single function or group of functions together, for which we are assigning the security group with View or Modify access.
Step1: Search and select the task ‘’Domain Security policies for functional Area
Following page/form opens
Step2: Select the functional area ‘Supplier Accounts’
- Click OK.
Following page opens
- Highlighted items are the various functions in the Supplier Accounts functional area.
Step3: Select Process: Supplier folder, which has functions/tasks related to Supplier Invoice
Step4: At the bottom of the page click on ‘Edit Permissions’
Following Edit Permissions for ‘Process: Supplier Invoice’ page opens
- Scroll down to the bottom of the page to see security groups area
Step5: Click on + sign to an ass security group
-Select Security Group ‘BCR RBSG for Invoice Clerk’
-Select Modify checkbox and View checkbox would be auto-selected
- Security group is assigned to ‘Process Supplier Invoice’ Domain Security Policy with Modify Permission
TASK 4 – To see the above changed all security-related changes we have to run the task: Activate pending security policy changes.
- In Search, enter the task ‘Activate Pending Security Policy Changes’
Following page appears
- Enter a comment and click OK
Following confirmation page appears with the list changes that are taking place
- Select Confirm Checkbox, Click OK
Following confirmation page appears that the changes are active now
TASK 5 – Assigning the role to the user and an organization
Note: I am using here the existing organization (I have created company called ‘BCR Fox Auto’)
– In Search, enter BCR Fox Auto
- Click on Roles tab
- All the available Roles, which were enabled for Company will display, including the role we have created.
- Assign the role to the user by selecting user under ‘Assigned To’
